Maybe you’re writing an opinion piece to a newspaper defending your organization, responding to an article about changes in your industry, or promoting a policy or amendment that somehow connects with your line of work. Or perhaps you’re writing a letter to customers asking their support for an important cause. Whatever your purpose, be diplomatic. Avoid such words as “stupid,” “unlikeable,” and other insults. Keep your language as strong, yet evenhanded and objective as possible. Always defend every point with a concrete example, and provide a logical order.

First sentence of introduction : Immediately connect with the reader’s interest and mention the issue you plan to discuss. You can change this line for each group of readers, whether friends, neighbors, or business associates.

Second and third sentences : Make your point. Include an action statement.

Body : Elaborate on your point, using specific facts, examples, and quotes.
Closing : Tell the reader where to call for additional information when applicable. Otherwise, restate your point as strongly as possible.

In addition to having virtually no administrative experience, Mr. Frasier has repeatedly voted against plans to upgrade and develop key areas within the West Side business district.
